1. Who we are
Global Counsel Forum Limited (“GCF”, “we”, “us”) is the controller of your personal information. We are a company registered in England and Wales, at 71–75 Shelton Street, London WC2H 9JQ. For anything about your data, email info@globalcounselforum.com.
Amicus, our community for legal professionals, also has its own Amicus Privacy Policy, which adds detail about membership.
2. What we collect
- Contact and professional details: your name, email address, phone number, job title, organisation, sector and career stage, and your LinkedIn profile if you share it.
- Bookings and payments: tickets, orders, invoices, dietary and access requirements you give us, check-in at events, and payment status. Card details are handled by Stripe; we never see or store your full card number.
- The GCF app and Amicus: your sign-in email, profile and photo, the events you are part of, meeting requests and messages, questions and poll answers, posts and comments, and when you were last active.
- Amicus applications: the answers you give when you apply, and our decision.
- Feedback: your answers to our event surveys (see section 6).
- Photos and video taken at our events, and, only if you choose to use it, the face data used to find your photos (see section 5).
- Emails and websites: whether you open or click our emails, the device, browser and pages you use on our websites, and cookies (see section 14).
- Working with us: if you are a sponsor, partner, speaker or supplier, the details of our dealings with you and your organisation, including emails and meetings with our team.
- From others: your colleague when they book a ticket or invite you to Amicus on your behalf, our event partners, and public professional sources such as your firm’s website or LinkedIn.
3. How we use it, and our lawful bases
- To provide what you ask for (contract): taking bookings and payments, sending tickets and joining details, running events and check-in, the GCF app and Amicus membership, and answering your questions.
- To run and improve GCF (legitimate interests): planning events, understanding attendance and feedback, keeping our records in our CRM, preventing fraud and misuse, and keeping our systems secure.
- To keep you informed (consent, or legitimate interests for people we work with professionally): newsletters, invitations and news about our events and community. You can unsubscribe at any time.
- To work with partners (legitimate interests): managing sponsorships and corporate memberships, and showing partners how their own people take part (see section 7).
- To meet our legal duties (legal obligation): accounting and tax records, and responding to lawful requests.
- Where we ask for your consent (consent): for example, finding your photos with face matching, or sensitive information you choose to give us. You can withdraw consent at any time.
Our team uses software, including AI tools, to help draft messages, summarise feedback and find information in our records. These tools work under contracts that keep our data confidential and do not allow it to be used to train their models. We do not make decisions about you based solely on automated processing.
4. Sensitive information
We only collect sensitive information, such as dietary requirements that reveal health information, access needs, or information about your ethnicity or background in an optional survey or application question, when you choose to give it to us. We use it only for the purpose we asked for it, such as catering, accessibility or understanding who our events reach, and report diversity information in summary form only.
5. Photos, filming and finding your photos
Our events are photographed and filmed. We use the images in our gallery, reports, website, social media, the GCF app and marketing, because sharing what happens at our events is part of what we do (legitimate interests). If you would rather not appear, tell our team at the event or email us, and we will avoid using images of you where we can.
Our gallery can find the photos you appear in. This only happens if you choose to use it and give your explicit consent. You select your own face in a photo, and a face match is created using Amazon Web Services’ Rekognition, in a collection for that event only. Other consenting attendees can search for you by name. Your face data is kept until you ask us to delete it, which you can do at any time from the gallery’s search page.
6. Event feedback and surveys
After our events we ask attendees for feedback, in the GCF app, on our gallery site and on survey.globalcounselforum.com. We use your answers to improve our events and community, and report them in summary form. Surveys marked as anonymous, and the event survey in the GCF app, are never linked to your name.
If your organisation is a GCF partner and you score us 9 or 10, we may share the positive comments you made, with your name and the event, with your organisation through our partner portal. We never share critical feedback or what you told us could be better. If you would rather we did not share your comments, email info@globalcounselforum.com and we will stop.
7. If you work for a GCF partner
Some organisations partner with GCF as sponsors or corporate members. Named people at the partner can use our partner portal to see how their own people take part in GCF, so they can support them. If you work for a partner, it can see:
- your name and job title, whether you are an Amicus member, when you joined and how recently you were active;
- the GCF events you have booked or attended;
- invitations to Amicus and events it sent you, and whether you applied or joined;
- any nomination it made for you, for example for GCF RISE;
- positive feedback, as described in section 6.
Partners do not see your messages, posts, survey scores below 9, anything from anonymous surveys, or your activity at other organisations. When colleagues type a name in the portal, it only suggests people at their own organisation’s email domain. Partners agree to use this information only to support their people’s engagement with GCF, and not for employment decisions. You can object at any time by emailing info@globalcounselforum.com, and we will stop showing your information to your organisation.
8. Emails and marketing
We send newsletters, event invitations and community news. If we know you through your work, we may email you about events relevant to your role, and you can opt out at any time. Every marketing email has an unsubscribe link. We record opens and clicks so we know what is useful. If a colleague invites you to Amicus or shares an event with you through our partner portal, we send that email on their behalf.
9. Who we share it with
We do not sell your personal information. We share it only as follows:
- Service providers who process it for us under contract, including: Microsoft 365 (email, Teams, files and calendars), our web hosting provider, Stripe (payments), Brevo (marketing emails), Amazon Web Services (photo face matching), Circle (the Amicus community platform), Google Analytics (website statistics), Xero (accounting), and AI and software providers our team uses. We previously used HubSpot, Ticket Tailor and Eventify, and are moving remaining records into our own systems.
- Venues, for attendee names, dietary and access needs, so they can host you.
- Sponsors and partners, where we say so when you book or register, and as described in section 7.
- Other attendees, through the GCF app and Amicus, where you choose to have a profile.
- Professional advisers, such as our accountants and lawyers, and authorities where the law requires it.
- A buyer or investor, if GCF’s business is sold or restructured, under confidentiality.
10. Information sent outside the UK
Some of our providers store or access information outside the UK, including in the European Economic Area and the United States. Where they do, we rely on UK adequacy regulations or on the UK’s approved contract terms (the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses), with appropriate security.
11. How long we keep it
We keep personal information only for as long as we need it for the purposes in this policy. How long depends on why we hold it, whether we still have a relationship with you, and what the law requires. For example:
- Bookings, invoices and payment records are kept for six years after the end of the financial year, as tax and company law require.
- If you unsubscribe from our emails, we keep a record of that so we do not email you again.
- Face data for finding photos is kept until you ask us to delete it.
Other information, such as your contact record, survey answers and your GCF app or Amicus account, is kept while it is still needed for running GCF and our relationship with you, and is deleted or anonymised when it is not, or when you ask us to and the law allows.
12. Keeping it safe
We protect your information with access controls by role, encrypted connections, signed connections between our systems, sign-in codes and limits on sign-in attempts and regular backups. Access to personal information is limited to the people who need it.
13. Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it (including for marketing, and for sharing with your organisation through our partner portal), to have it moved to another organisation, and to withdraw any consent you have given. Email info@globalcounselforum.com. We will respond within the time the law requires.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
14. Cookies
Our websites use cookies to keep you signed in, remember your choices and, with your agreement, measure how the sites are used. Our Cookie Policy has the details and explains how to change your choices.
15. Changes and contact
We will update this policy when how we use information changes, and show the date at the top. Questions: info@globalcounselforum.com, or write to Global Counsel Forum Limited, 71–75 Shelton Street, London WC2H 9JQ.
